How the Greater Vancouver YMCA Eliminated Paper Forms and Enhanced the Camp Experience

We recently had the opportunity to interview Lisa Stiver, the General Manager for the Sea to Sky Region of the YMCA of Greater Vancouver. The YMCA is an organization dedicated to building healthy communities, and has done this with overwhelming success across the globe. They offer a variety of services such as camps, child care, community services, and health and wellness services.

ePACT is proud to work with the YMCA of Greater Vancouver to support various Children’s Camps, including Camp Elphinstone, Langara, and Tong Louie. Lisa explained that one of the challenges these camps face is being able to collect, store and access participant medical and health information.

Here’s a quick overview of Lisa’s interview as she chats about her experiences with the YMCA and how they were able to use ePACT to enhance the camp experience.

Why did you think that ePACT would be valuable for the YMCA?

I felt that ePACT would be valuable for the YMCA because we have so many children – 400 children a week at camp just at one location, plus thousands of others at other day camp locations. Trying to track that information and manually go through paper forms has always been such a challenge for us, so once I used ePACT for minor hockey I knew that it could really cross over to our work with children at the YMCA in allowing families to fill out one form and attend several different programs while not having to do the work again.

How does ePACT help you prepare in advance of camps starting?

ePACT allows our nurses at Camp Elphinstone to quickly sort through information, whether it is dietary restrictions, releases or medical alerts, and print those off so they are aware before the children arrive at camp.

Would you recommend ePACT to other camps and recreation programs?

I would recommend ePACT to other programs, especially those dealing with large amounts of children or children in different programs. It’s such an easy way to sort through information and keep it relevant, while providing access to the right people as opposed to everybody having access to all of the forms. It also makes it very easy for us to know who you’ve got information for, and quickly access that information in an emergency or when needed.

What have been the biggest benefits for the YMCA

In my experience the biggest benefits of ePACT for the YMCA have been at our program Camp Elphinstone. Being able to sort through 400 children every week to provide care so quickly, all while having the information available ahead of time as opposed to waiting to collect medical forms on the first day. We really are prepared for their dietary restrictions or medical concerns, and the nurses at camp can really make sure the children are well cared for from the moment they step off the ferry and come to camp.

What have your camp coordinators and administrators liked most about ePACT?

Our camp coordinators really like the sort functions and how easily accessible the information is. Even being able to print health forms with children’s photos and knowing who they are before they get to camp really helps us to make them feel more comfortable and supported before they get there.
